The HOA Board and Committees

The HOA Board Committee The HOA Board made up of homeowners that live in Stillwater, and were elected by the other residents of the community. Each board member serves for a period of three years. Their job is to watch over the community property and make sure it is taken care of properly. They meet on the second Thursday of every month at 7:00 PM in the clubhouse. All members of the HOA are invited to attend those meetings.

Parks and Common Grounds Committee This committee helps look over the parks and common areas to make sure everything is being taken care of from the grass and plants to trees and equipment. We always need extra eyes and ears, so if you regularly walk your dog or take a stroll through the neighborhood and would be willing to help point out broken sprinklers or other items in common areas that need to be maintained we would love your help!

Outreach Committee This Committee plans our yearly Easter Egg Hunt, Neighborhood Yard Sale, the Summer BBQ, and our Christmas Light contest. We are always looking for volunteers and this committee is a lot of fun!

Design Review Committee These members are elected by board members during our Annual Meeting and have term limits. DRC members review all new home plans to be built and approve landscaping plans, fences, rock walls, etc. This committee meets on the third Thursday of every month at 7:00 PM in the clubhouse.

Residents who wish to make improvements to their yard or home exterior (landscaping, fencing, retaining walls, dog runs, paint color changes, decks, patios, storage sheds, etc.) should submit plans specifying the nature, kind, shape, height, materials, colors, and location of desired changes to the Design Review Committee (DRC) by emailing swdrc@hotmail.com. The DRC will review submitted resident plans for compliance to the Stillwater Architectural Design Guidelines (it would be great to insert a link for the guidelines here) and reply with an approval letter or with a request for more information or needed changes to the plans for approval. Residents can expect a reply within a few days of receiving the plans.

Policy and Compliance Committee This committee helps field complaints or questions you may have about violation notices and also helps to assist the board when extensions may be required or extenuating circumstances may arise. Remember these are your neighbors just trying to help make and keep our neighborhood beautiful and well-maintained; they do not make the rules, nor do they arbitrarily apply them; they volunteer their own time just to help with the rules that are already in place for all of us.

Clubhouse Committee This committee oversees all things related to the clubhouse, both inside and out. This includes a variety of things, such as: clubhouse keys, reservations, cleaning, utilities, internet, cable, exercise equipment maintenance, exterior maintenance, etc. There is always much to do to ensure that the clubhouse is well maintained and welcoming to our residents.
